Privacy Policy

This policy explains how Kairo (a service of OneHundredHQ) collects, uses, and protects information when you use the Kairo website, Trajectory Audit, Simulator, members library, and related client workflows.
1. Who we are
Kairo is operated by OneHundredHQ. References to “Kairo,” “we,” “us,” or “our” mean OneHundredHQ operating the Kairo service. Formal client representation is governed by a signed engagement letter; this policy covers website and product use before and alongside that relationship.
2. Information we collect
Depending on how you use Kairo, we may collect:
- Intake and contact details: name, email address, and the reason or challenge you share on the Kairo home page or Trajectory Audit flow.
- Trajectory Audit context: optional details you provide such as LinkedIn profile URL, location, and career challenge text, plus scheduling information when you book a call.
- Payment information for deposits: when you pay the Trajectory Audit booking deposit (currently SGD 10), payment is processed by Stripe. We do not store full card numbers on Kairo servers; Stripe handles card data under its own terms.
- Members library access: the email address used for one-time-passcode sign-in, session information needed to keep you signed in, and basic access records (for example, when you sign in). Insider areas may require an additional authenticated membership check.
- Client engagement information: career, compensation, employer, role, and decision context you share during advisory or representation work. We treat this as confidential by default.
- Automatically collected usage data: IP address (or a truncated form), browser and device type, operating system, approximate location derived from IP, referring site, pages viewed, links clicked, time on page, and scroll depth on selected content pages.
Public marketing pages do not require an account. The Simulator runs in your browser with the numbers you enter; those calculator inputs are not sent to us unless you separately choose to share them (for example in an audit or engagement).
3. How we use your information
- Respond to intake, audit bookings, and follow-up communication
- Schedule and prepare Trajectory Audit conversations
- Process booking deposits and related payment confirmations
- Authenticate members-library access and protect gated content
- Assess position, options, timing, and representation strategy when you engage Kairo
- Improve the site, funnels, and content through analytics
- Maintain security, prevent abuse, and comply with legal obligations
Kairo is not a profile marketplace. We do not sell access to your profile or career data, and we do not contact your employer, managers, recruiters, or other third parties as part of intake or audit review without your explicit authorization.
4. Analytics
We use PostHog (PostHog Inc.) to measure website and members-library usage. PostHog may process event data such as page views, clicks, referred traffic, device information, and (after you sign in to the members library) a stable identifier linked to your email so we can understand logged-in usage across sessions.
We configure PostHog to create person profiles primarily for identified (signed-in) users, and we mask form inputs in session recordings where that feature is enabled so one-time passcodes and similar fields are not stored in clear text. Session recording is disabled on the Trajectory Audit booking page.
PostHog is a third-party processor. Their handling of data is also governed by their own terms and privacy documentation. Event data is sent to PostHog’s servers (currently the US cloud region for our project unless we notify otherwise).

If your browser sends a Do Not Track signal and you have not explicitly allowed analytics, we treat that as an opt-out.
5. Third-party processors
We may share information with processors that help us operate Kairo, including:
- PostHog — product analytics
- Calendly — scheduling for Trajectory Audit calls
- Stripe — payment processing for booking deposits and other fees you authorize
- Email and authentication providers — delivery of one-time passcodes and transactional messages
- Hosting and infrastructure providers — serving the website and related systems
These providers are expected to use your information only to perform services for us (or as required by law). We may also disclose information when required by law, to protect rights and safety, or in connection with a business transfer.
6. Confidentiality and sensitive career data
Career, compensation, employer, negotiation, and decision information is treated as confidential by default. You should not provide confidential company material unless it is appropriate and permitted. Kairo does not need access to employer systems.
Confidentiality commitments for formal representation are defined in the engagement letter and may be stricter or more specific than this website policy.
7. Security
We use administrative, technical, and organizational measures intended to protect personal information. No method of transmission or storage is perfectly secure; we cannot guarantee absolute security.
8. Children
Kairo is directed at working professionals. We do not knowingly solicit information from children under 13. If we learn we have collected such information without appropriate consent, we will delete it as quickly as practicable.
9. Your rights
Depending on your location, you may have rights to access, correct, erase, restrict, or object to certain processing of your personal data, and to request portability. To exercise these rights, contact us using the details below.
10. Retention
We retain information as long as needed for the purposes described above, including audit follow-up, client work, security, legal compliance, and legitimate business records. Members-library session data is kept only as needed to operate sign-in.
11. Changes
We may update this Privacy Policy from time to time. We will post the revised policy on this page and update the last-updated date. Continued use of Kairo after changes take effect constitutes acceptance of the updated policy where permitted by law.
